Operations Assistant

About the Position

Accelerate Institute is seeking a talented Operations Associate. Reporting to the Director of Finance and Operations, the Operations Associate is responsible for overseeing or assisting with the following functional areas: administrative support, office operations, accounts payable support, human resources support, events and program support, data management and coordination with IT and facilities management. The Operations Associate evaluates and makes appropriate improvements to administrative processes to ensure that practices are in line with the overall goals of the organization. The successful candidate will be self-motivated, results-oriented, creative, entrepreneurial, and have exceptional interpersonal and organization skills. 

Position Responsibilities

  • Oversee day-to-day operation of office: Receive visitors; Schedule meetings and maintain reservation calendar of shared office spaces; Answer telephone

  • Maintain office: Order and keep inventory of supplies and equipment; Support IT; Ensure the cleanliness of shared spaces; Work in concert with staff of a co-located company

  • Accounting: Serve as liaison between staff and accounting office: obtain paperwork, signatures, and information as requested, review accounts payable invoices, and manage expense report process for company credit cards, including completion of leadership team reports

  • Human Resources support: Handle HR paperwork for all staff including new hire, insurance enrollment, and paid-time off records and reporting; Provide onboarding to new staff on office procedures and equipment

  • Events: Support the Director of Finance and Operations to plan, organize, and execute our major fundraising event for the organization and other major program professional development events throughout the year; Support work of other organization teams, including assistance with travel planning, event coordination, and material preparation for events

  • Data management: Support the Director of Finance and Operations in monitoring and ensuring integrity of donor information, program participants, and staff; Responsible for records management of organization: includes filing, directory updates, information flow, and preparing updates for CEO

  • Ryan Award: Support communication, travel, and other touchpoints with Ryan Award nominees and awardees.

  • Organization-wide Support: Support work of other organization teams and special projects, as needed.

Required Qualifications and Skills

The ideal candidate must have:

  • Minimum of 2 years of professional experience

  • Extremely detailed-oriented and organized with the ability to execute multiple projects simultaneously

  • Proven ability to work unsupervised and solve problems independently, effectively, and creatively

  • Strong written and verbal communication skills for multiple target audiences • Ability to effectively manage up, including proactive communication on project status and challenges • Advanced knowledge of MS Office

  • Experience working with donor tracking databases preferred (Salesforce)

  • Results-oriented team player with the ability to work in a fast-paced environment and to produce high quality work in a timely manner

  • A strong commitment to education reform and the mission of Accelerate Institute

Compensation:

Salary Range - $50,000 - $55,000. Accelerate Institute offers a full benefits package which includes: health and dental insurance; 10 days of vacation; 6 paid holidays with paid days off between the Christmas and New Year’s holidays; a paid floating holiday; paid sick and personal leave; paid parental leave; retirement plan options; long-term disability coverage; and basic life and personal accident insurance.
